supports the following Best Practices:
Licensing • The company maintains current copies of state required licenses.
• Wisconsin Title Service and its employees comply with all current licensing and registration requirements as governed by the Wisconsin Commissioner of Insurance.
• Underwriters are notified by the Wisconsin Office of the Commissioner of Insurance on the validity of licenses.
• Wisconsin Title maintains an ALTA Policy Forms License in conjunction with its membership in the American Land Title Association.
• Wisconsin Title is an approved agent for the following underwriters:
First American Title Insurance Company
Fidelity National Title Insurance Company
Old Republic National Title Insurance Company
Escrow Trust Accounting • Wisconsin Title maintains separate operating and escrow accounts.
• Escrow accounts are prepared with trial balances.
• Escrow trust accounts are reconciled monthly. Duties are segregated so that employees involved in the reconciliation duties have no signing authorities. Management reviews each of the monthly reconciliation reports.
• Each account is identified as an “Escrow or Trust Account”.
• File Balances are documented.
• Only authorized employees can conduct closings/settlements and former employees are immediately removed as signatories from bank accounts.
• All escrow accounts are established only at Federally Insured Financial Institutions.
• Blocks at ACH and International Wire Transfers are in place on all escrow accounts
• Only those employees who have satisfactory credit reports and background checks are approved/authorized to be signatories on escrow accounts.
Protecting NPI • The Company has a formal privacy and information security program that is appropriate with the size and complexity, the nature and scope of the Company’s activities and the sensitivity of the information in the Company’s possession as part of this program.
• Wisconsin Title Service Company maintains a Privacy Policy Notice (see attached) and is provided to customers upon request.
• The Company policies associated with the privacy and information security program are given to all employees.
• The Company makes an assessment yearly of the standards and requirements affiliated with the Company’s Information security program, including those set out in this policy and procedure document.
• The Company utilizes our title insurance underwriters as the information provider for background and credit checks identified with no irregularities.
•Other standard procedures for security of NPI include closing paper files other than the one currently being worked on, storing files away when away from workspace, clearing desks and locking file cabinets at the end of the day.
• The Company’s computer network utilizes up-to-date antivirus, anti-spyware and data encryption software applications.
• Access to the Company’s information technology computers and network is secured by individual and unique passwords.
• The Company has defined and communicated to employees the types of date/information that falls into the NPI category. Any NPI date is disposed of thru a contracted shredding vendor.
Settlement Processes • Wisconsin Title Service requires its closing/settlement employees to forward documents for recording within two (2) business days of disbursement of funds. Recordings are to be processed electronically where available and upon receipt of customer authorization and payment of servicing fee.
• Wisconsin Title Service maintains an online title insurance rate calculator to ensure consumers are being charged the appropriate premiums.

Policy Production • Wisconsin Title Service Company issues and delivers policies to its customers in a timely manner.
• Wisconsin Title Service Company reports policies and remits payments for said policies to its underwriter(s) in a timely manner to meet statutory, regulatory and contractual obligations.
Insurance Coverage • Wisconsin Title maintains appropriate levels of Errors and Omissions Insurance, Fidelity Coverage and Surety coverage to meet state law and contractual obligations.
Consumer Complaints • Wisconsin Title has a written process to deal with customer complaints that allows for an office manager to settle the complaint; or if unable to do so, to transfer the issue directly to the principals of the Company.
