Dunn County, Wis., and Peoria County, Ill., implemented eRecording with Simplifile.
“We have been waiting to eRecord for over five years,” Peoria County Chief Deputy Recorder Marsha Livers said. “We were unable to eRecord with the software we had, so when the time came to acquire a new software vendor, eRecording was our guiding focus. Our county has experienced budget constraints with a reduced workforce. eRecording was a logical means that would allow us to work smarter with less people.”
“By eRecording, we are providing a service to the title industry and lenders that will aid in their compliance with the new CFPB regulations,” Dunn County Register of Deeds Heather Kuhn said.
Using Simplifile’s secure, web-based service, customers ranging from title companies to banks, attorneys and lien filers, have the ability to scan or upload and submit documents directly to Kuhn’s office and have them recorded, stamped and returned electronically in minutes.
“eRecording increases office efficiency by reducing the number of steps in the recording process and by reducing mailing costs associated with returning documents,” Kuhn said. “Our customers benefit by being able to follow the time stamp history of a document and a faster turnaround time for rejected documents. eRecording offers customers automated fee submission and digitized image retention rather than paper. By the end of the year, we should be able to accept most types of documents authorized by law to be recorded.”
She said customers can submit mortgages, releases, satisfactions, discharges, partial releases, security agreements, subordination agreements and assignments via eRecording through Simplifile.
Livers said her office records more than 300 different types of documents — the majority of which can be eRecorded.
“We are able to process eRecorded documents much quicker than those sent to us through the mail,” she said. “Better yet, we are able to communicate with the submitters about any issues we have with the document, and as a result, get them corrected in minutes rather than weeks.
“We have only been eRecording for three weeks and we have already seen improved productivity and efficiencies and nearly eliminated incoming and return mail.”
